Collection and use of personal data from customers, suppliers and other contractors

Privacy statement

Please note that we will collect and use the personal data you provide to us because this is necessary to conclude and execute any agreement with you. This applies both to our (potential) customers and to parties from whom we purchase goods and/or services.

If you are our customer or potential customer, we use your data to send you a quotation, to determine the specifications or wishes of a certain item or service, to deliver goods or perform work for you, to invoice you and to communicate with you quickly and efficiently about the execution aspects of the agreement.

If you are a (potential) supplier or other contractor, your personal data are also necessary for the conclusion and execution of the agreement. In the case of procurement, this is necessary to let you know what specifications or requirements a particular item or service should meet as far as we are concerned, to be able to send you a request for a quotation or place an order with you, to be able to pay your invoices and to communicate with you smoothly and efficiently about other aspects of the agreement.

You are not required to provide us with your personal data. However, if you do not provide us with any or sufficient personal data, we may not be able to perform the aforementioned activities.

Passing on to third parties

In connection with the performance of any agreement with you, we may need to provide your personal data to parties who supply us with parts, materials and products or who perform work on our behalf. Furthermore, we use external server space for the storage of our data, which includes your personal data. Your personal data is provided to our server room provider for this reason. Finally, because we use a mailing service, your personal data will be passed on to the provider of this service.

Direct marketing

If you have given us your consent, we will store and use the personal data you have provided for the purpose of personally informing you about our existing and new products and services by e-mail in the future, and possibly making you an offer for these. Every time we send you an advertising mailing, you have the option to let us know that you no longer wish to receive it. See the unsubscribe link at the bottom of each mailing.

Google Analytics

Through our website, cookies are placed by the American company Google, as part of the "Analytics" service. We use this service to track and receive reports on how visitors use the website. This processor may be required by applicable laws and regulations to provide access to this data. We have not allowed Google to use the obtained analytics information for other Google services.

Retention period personal data

If you have requested information from us, we will retain your data no later than seven years after our last contact, provided you have not unsubscribed in the interim. Similarly, if we have received an offer from you, but we have not become your customer, we will retain your personal data for seven years after our last contact. The period of seven years corresponds to the period during which we are obliged to keep our records for the Tax Office. After this period, we will contact you to find out whether we may keep your personal data for longer.

Your Rights

You have the right to ask us to view your own personal data. If warranted, you may also ask us to supplement your personal data or to correct inaccuracies. In addition, you have the right to ask us to delete your personal data or to restrict the use of your personal data. You can also object to us collecting and using your data or file a complaint with the Personal Data Authority. Collection and use of personal data of applicants, temporary workers, payroll employees, interns and employees

Please note that we will collect and use the personal data that you provide to us because this is necessary for the completion of the application procedure or in order to conclude and execute an employment contract / internship agreement / temporary employment contract (if any). In addition, certain personal data are necessary for the fulfillment and execution of provisions of the collective bargaining agreement that applies to us. We also collect and use your personal data in order to comply with certain legal obligations. These legal obligations relate, for example, to the determination and indebtedness of taxes and employee contributions.

Given this necessity, you are obliged to provide us with the personal data required for this purpose. If you provide us with no or insufficient personal data, we may not be able to complete a job application procedure with you, enter into and perform an employment contract / internship contract / temporary employment agreement (if any) with you, or fulfill our legal obligations.

If you are a (payroll) employee or trainee, we use your data for the preparation, execution and termination of the employment or trainee contract or employment relationship. This includes:

- handling personnel matters;
- determining and paying salary, benefits and other monetary amounts; and
- establishing and paying any taxes, contributions and other tax obligations on your behalf as an employee or intern.

If you are a job applicant, we will use your information to communicate with you about the progress of the application process, the assessment of your suitability for a position that is or may become vacant, and any handling of any expenses you incur.

If you are a temporary employee, we will use the data we obtain from the temporary employment agency to assess your suitability for a position that is or may become vacant and for the execution of the temporary employment contract.

Transfer to third parties 

It is possible that we may pass on your personal data to other parties. These other parties may be government bodies, but also parties who perform work on our behalf or parties to whom we are obliged to provide data in connection with the (performance of the) employment contract. These are the following parties: 

  • the Tax Authorities; 
  • the UWV; 
  • Our occupational health and safety service/company doctor; 
  • The Social Affairs and Employment Inspectorate; 
  • the absenteeism insurer; our accountant/bookkeeper/salary administrator. 

Sometimes the provision of your data to another party will be necessary to comply with the law, as is the case when passing on to the Tax Office, the UWV, the occupational health and safety service/company doctor, the (compulsory) Pension Fund and the Social Affairs and Employment Inspectorate.

In other cases, the transfer is necessary to execute the (employment) agreement with you, as in the case of transfer to the leasing company. When providing your data to our absenteeism insurer, we have a legitimate interest, namely that we can thereby claim an insurance payment.

There are also parties who perform work on our behalf, such as the accountant/bookkeeper/payroll administrator. We have a legitimate interest in this transfer of your data. These activities are outsourced because of (among other things) the knowledge and expertise possessed by our accountant/bookkeeper/salary administrator. In order to execute the (employment) agreement with you, the accountant/bookkeeper/salary administrator needs your personal data.

Furthermore, we make use of external server space for the storage of (parts of) our personnel and payroll administration, which includes your personal data. Your personal data are provided to our server provider for this reason. In addition, we use Microsoft Office and its storage facilities for e-mails and other files. We have a legitimate interest in these two transfers because we want to store and process data digitally and outsourcing this has several advantages.

Retention period personal data

We will delete your application data no later than 4 weeks after the application process ends, unless you have given us permission to retain your data for a period of up to 1 year.

We will retain personal data from payroll that is relevant for tax purposes for a period of 7 years after you leave employment. This retention period is related to a legal obligation applicable to us. We will retain payroll tax statements and a copy of your identity documents for 5 years after the end of your employment. This retention period is also related to a legal obligation applicable to us.

For other personnel or payroll administration data, we apply a retention period of no more than 2 years after your employment is terminated, unless it appears that certain personal data are necessary for us to comply with a statutory (retention) obligation or in the event of an employment conflict or lawsuit. Other personnel or payroll administration data' includes employment contracts, reports of appraisals and performance reviews, correspondence about appointments, promotions, demotions and dismissals, certificates and administrative absenteeism data.

Your Rights

You have the right to ask us to view your own personal data. If warranted, you may also ask us to supplement your personal data or to correct inaccuracies. In addition, you have the right to ask us to delete your personal data or to restrict the use of your personal data. You can also object to our collection and use of your data. If you find that we handle your personal data incorrectly, you can submit a complaint about this to the organization that supervises the privacy rules, the Personal Data Authority. Finally, you can ask us to obtain your personal data or transfer them to another party.

You cannot exercise the rights listed above in all circumstances. For example, if we need your personal data to comply with the law, you cannot object or request erasure.
